Printed for the pace of event day
Community events often start with a plan on paper and then change quickly once the gates open. Stalls move, sponsors add logos, and a race route or school field layout needs a sign at short notice. That is why local organisers in Paarl, Wellington, Stellenbosch, Franschhoek, Worcester and Malmesbury usually need a printer and sign shop that can handle both the print file and the final fitment.
For local events, the usual brief covers banners, entry signs, stage backdrops, directional boards, raffle tickets, sponsor boards and branded stickers for crew, vendors or parking control. If the event is outdoors, the material choice matters. Coastal humidity, afternoon wind and bright Karoo-style sun can all affect how long a print stays neat. If the event runs over more than one day, we also look at whether the graphics need lamination, board mounting or eyelets for tie-down.
What event organisers usually order
Most event setups use a mix of large format print and smaller support items. A single order may include front-of-house signage and smaller pieces for wrist control, ticketing or vendor identification. The aim is to keep the whole site easy to read, from the entrance gate to the beer tent, paddock, registration table or prize-giving area.
- Pull-up banners or PVC banners for welcome points and sponsors
- Foamboard or correx entry signs for gates, parking and directions
- Light boxes or printed faces for evening events and indoor halls
- Tickets, vouchers, stickers and passes for registration and access control
- Stage backdrops, sponsor walls and photo boards for media moments
- Window frosting or contra-vision for temporary branding on glass panels
If you are running a bike ride, school fair, market day or corporate golf day, we can also supply motorbike decals, vehicle magnets and wraps for support vehicles, marshals and branded delivery bakkies. These are handy when the event needs on-site visibility in more than one place.
Layout advice that saves time on site
Good event signage starts with the site plan. Before anything is printed, it helps to know where people arrive, where they must turn, and where they are likely to hesitate. Entry signs should be visible from a moving car, while pedestrian direction boards should be placed at eye level and repeated where people could miss the first one. A common mistake is making one sign do too much work. If a driver needs to slow down, park and then walk, that route should be split into clear steps.
For sponsor backdrops, we normally recommend leaving safe space around all edges and keeping logos clear of poles, seams or fold lines. If a backdrop will be photographed, the main sponsor names should sit at chest to head height for most people. Tickets and wristbands should be numbered or colour coded early in the process, especially where entries are sold in phases or by age group. It is also worth checking whether the municipality or venue needs temporary sign approval, especially on roads, public land or near busy intersections.
- Send the final event map early so we can mark sign sizes and positions correctly
- Keep wording short, because people read signs while walking or driving
- Use one font family for the whole event so the site feels organised
- Check spelling on sponsor names, dates and route information before print approval
Common mistakes that cost money on the day
Event print work often goes wrong when the brief is rushed. The most expensive mistake is not leaving enough time for artwork checks, because one small typo on a banner or sponsor wall can affect the whole job. Another common issue is using low resolution logos from old PDFs or social media screenshots. Those files may look fine on a phone, but once scaled up they can become soft or blocky.
Outdoor events in the Boland also need material choices that suit the weather. Thin paper posters do not last in wind and rain, and glossy finishes can glare badly in strong sun. If a sign is going near a road or parking area, it needs enough size and contrast to read quickly. For night events or covered courtyards, reflective or backlit options may be better. If the site is damp, uneven or prone to dust, we can suggest mounting and finishing that holds up better through the weekend.
Other mistakes include under-ordering tickets, forgetting backup signage for the parking area, and leaving sponsor updates until the last minute. Reprints and updates are usually far cheaper when there is time to reuse existing sizes and formats. When the event is annual, it also helps to keep the same board sizes and sign positions so future updates are quicker and less expensive.
Typical event budgets in Rand
Budgets depend on size, material and how much finishing is needed. A small community market with a few directional signs may only need a modest spend, while a multi-day festival or sports event with multiple sponsor boards, printed backdrops and installed signage will cost more. We work across a wide range, from simple one-off pieces to full site packs.
As a rough guide, small event print runs can start from about R350 to R950 for basic signs or short runs of tickets and stickers. Medium event packs with banners, entry signage and sponsor boards often sit between R1,500 and R6,500. Larger event setups that include multiple boards, backdrops, vehicle graphics and installation can run from R7,000 to R25,000 or more, depending on size and finishing. If the job needs lamination, board mounting, sign installation or vehicle fitment, those items are normally priced separately so you only pay for what the event actually needs.
For organisers working to a tight schedule, it is worth planning for a small buffer. Last minute sponsor changes, extra parking signs or an added registration point are common and much easier to handle if the budget allows a bit of movement.
How to brief us for a smoother build
The cleaner the brief, the faster the turnaround. Send the event name, date, venue, sizes if you have them, and a simple note on where each sign will be used. If you already have sponsor logos, include the highest quality version available and let us know which names must stand out most. A rough sketch or photo of the venue helps a lot, especially for outdoor events with more than one entrance or a tricky layout.
Our team can help with graphic design, artwork checks, large format printing, vinyl cutting, banner finishing, board mounting and sign installation. For event work, that usually means one person handles the layout, another checks the files, and the production team makes sure the printed pieces are ready for site use. If a backdrop needs to be installed before sunrise or a board must fit a tight stand space, it is better to say so early. That way the job can be planned properly and the event crew is not left guessing on the morning.
We are based in Paarl and regularly support events across Wellington and the wider Boland. Whether it is a school sports day, local expo, community fundraiser or club function, the goal is the same: clear signs, tidy print work and less stress on the day.
